JOB DESCRIPTION- Direct Marketing and Database Specialist Basic Responsibilities: Under administrative direction, manage member database and direct marketing program; track and improve overall performance of direct marketing program; work directly with Web Manager to manage data integration between on and offline software programs; prepare reports for the Finance Office and design custom reports to meet staff/Board needs; conduct all data analysis and create segmentation; provide internal support to all database users and assist with processing of daily records; support overall Membership efforts. Specific Duties: Database Management • Conduct all data analysis • Create and revise segmentation for all functions and custom reports • Provide internal support to all database users including training, troubleshooting, coding and the creation of custom reports • Provide documentation, training and supervision to all temporary employees using the database • Work directly with station staff and Allegiance to identify software needs, problems, etc. • Request and implement software upgrades • Ensure data hygiene and integrity • Database procedure and policy management Direct Marketing Program • Manage direct mail program: o Generate all solicitation lists in the correct file format for specific effort o Manage direct mail efforts in conjunction with all telemarketing efforts (i.e., timing, type of effort, effort theme, file size and recipients, cost of effort, etc.) o Write text for direct mail pieces and work directly with internal designer to create layout and design of pieces o Generate suppression lists as needed o Manage printing, Data Processing and Letter Shop, and cost of all direct mail efforts o Monitor on-hand quantity of all components of direct mail pieces o Serve as primary station contact for all companies involved in the printing and distribution of direct mail pieces • Manage telemarketing program: o Generate all calling lists in the correct file format o Manage telemarketing campaigns in conjunction with all direct mail efforts (i.e., timing, type of effort, effort theme, file size and recipients, cost of effort, etc.) o Write and revise telemarketing scripts as needed o Generate suppression lists as needed o Track campaign performance on a daily basis and decide when to stop calling on specific campaigns o Address customer service issues as they arise and communicate this information to Membership Manager o Serve as primary station contact for our telemarketing company Acknowledgement Program and KETC Guide Mailing • Acknowledgement Program o Generate all acknowledgement files o Generate and send all acknowledgements for sustainer pledges, gift memberships and installment pledges o Revise and write text of all acknowledgement letters as needed o Monitor on-hand quantity of all components of acknowledgement packages o Order printing of all acknowledgement package components as needed Page 1 of 2 • KETC Guide mailing o Generate all lists for mailing of the magazine in the correct file format o Generate all lists for supplemental mailing of the magazine in the correct file format o Communicate with Editor the number of magazines to be ordered for Membership o Ensure postal account contains sufficient funds for supplemental mailing o Provide internal communication to all Membership staff regarding magazine mailings, list composition, timing, etc. Pledge • Supervise and train temporary data entry pledge employees • Supervise temporary pledge employees as scheduled • Manage use of overnight answering service during pledge drives o Secure the overnight answering service company o Serve as primary station contact for company o Communicate and provide documentation to company regarding any FAQs o Communicate pledge programming schedule and anticipated call volume o Review daily reports sent by company o Track performance of company and revenue generated through use of service • Monitor status of and assist with pledge entry and cash processing/pledge billing • Assist with the generation of lists for premium/ticket fulfillment and actual fulfillment of premiums and ticketing Updating Daily Records/Cash Processing • Export all web pledges and import into Allegiance on a daily basis • Import all credit card telemarketing pledge files for processing of payments • Process all sustainer and gift membership pledges • Conduct monthly billing by credit card and check • Create retry batches for credit card transactions previously declined or invalid • Assist with updating daily records and cash processing in the absence of Data Entry Specialist or as volume necessitates Membership • Answer Member/Viewer Services phone calls • Respond to some emails and letters • Assist with internal mailings and projects • Attend and work special events Qualifications: • Bachelor’s Degree; supplemented with at least 2 years of related experience • Knowledge of relational databases; knowledge of Allegiance software preferred • Knowledge of direct marketing solicitation techniques including direct mail and telemarketing • Program and project management skills • Strong verbal and written communication skills • Strong interpersonal skills • Ability to work in a fast-paced environment and adapt and respond to various situations • Ability to work independently Page 2 of 2
